Location:  Kanab, Utah

Provide administrative, clerical and research support to the Medical Management team. The Administrative Assistant is responsible for providing operational support for the Medical Operations Manager and the Medical Director.   Work closely with Medical Operations Manager and Medical Director, Team Leads, Veterinarians and all medical staff to help provide quality medical care to all patients seen by the Best Friends Animal Sanctuary Clinic. 

Duties and Responsibilities:

  • Communicate professionally and with a high level of customer service to Clients, Veterinary staff, Management and other Sanctuary departments regarding all job responsibilities, especially the health of clinic patients.
  • Maintain the ability to follow policies and procedures set by the Medical Director and Clinic Manager.
  • Maintain high level of confidentiality regarding employee, financial and other sensitive operations.
  • Liaison between managers, department and Sanctuary staff.
  • Assist and facilitate the preparation of staff schedules (veterinary and technician).
  • Assist with scheduling of interviewees, externs and volunteers.
  • Assist with payroll record keeping including coordination of PTO requests, holidays, etc.
  • Coordinate and maintain meeting schedules and set up of conference room equipment
  • Assist with meeting preparations, agendas, special speakers, compiling meeting minutes and summaries.
  • Maintain employee board, posted department information and updates
  • Organize and maintain department documents and files; both electronic and hardcopy filing systems.
  • Assist with project management, research of potential projects, upgrades, etc.
  • Prepare, maintain and ensure completion of monthly department statistical reports
  • Prepare department credit card reconciliation statements
  • Assist with project coding of invoices and tracking of expenses.
  • Answer correspondence in timely and professional manner.
  • Maintain office supply inventory and ordering of supplies
  • Assist with coordinating maintenance and servicing of office equipment
  • Assist as needed in providing relief coverage at clinic/hospital reception desk.
  • Demonstrate personal accountability to ensure that all responsibilities are completed effectively and in a timely manner.
  • Demonstrate approachability when dealing with staff and public
  • Demonstrate ability to create and encourage a positive work environment.
  • Other duties as assigned.

Skills and Experience:

  • Two years previous related experience and/or training; or equivalent combination of education and experience.
  • Experience in an administrative role.
  • Experience in interacting with the general public. Customer service experience.
  • Must have high level of interpersonal skills to handle sensitive and confidential situations.
  • The ideal person for this job would be a team player, professional, upbeat, energetic, takes initiative, uses tact and diplomacy.
  • Work requires outstanding organizational skills and continual attention to detail. Must be able to work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands.
  • Have knowledge of common medical terminology, transcription and data entry (Avimark, Smart Flow, ezyVet).
  • Must have proficiencies with a variety of computer software applications in email, word processing, spreadsheets, research, and presentation software (specifically, Outlook, Excel, Word, PowerPoint, Visio, Fetch, Teams).
  • Comfortable learning new software programs and using online information systems. Experience with Avimark, Smart Flow, and ezyVet software a plus but not required.
  • Ability to apply effective independent judgment when required.
  • Willing to work flexible hours and on weekends.
  • Ability to professionally advocate Best Friends' position on issues.
  • Valid driver's license with access to transportation to travel on organization business.

Physical Requirements:

  • Must be able to sit for long periods of time.
  • Work at a computer for long periods of time with repetitive typing, arm and hand motion.
  • Perform bending, stooping, reaching, lifting and other physical movements for the purpose of filing, moving equipment, supplies, etc.
  • Comfortable with having animals in the work environment.
