Position Summary:  People come from all over the world every year to Best Friends Animal Sanctuary to engage with our animals and staff and learn more about our lifesaving work.  The Learning Experience (TLE) Intern Coordinator is responsible for coordinating and arranging a meaningful and rewarding experience with Best Friends Animal Society. This person is positive, enthusiastic and understands the importance of building a strong relationship with all participants while creating an intense and focused educational experience with specific areas of concentration. The Intern Coordinator must possess strong organizational and excellent customer handling skills so that all participants leave educated and inspired to return home to their communities and continue the life saving work, which supports the Best Friends' Mission to Save Them All.

Responsibilities:

  • Coordinate and manage all aspects of our internship programs:
    • Plan and coordinate logistics;
    • Process intern applications and cancellations; send forms and other information to applicants prior to visit; communicate with prospective interns; maintain intern wait list;
    • Promote and advertise intern offerings;
    • Update and maintain internship information online;
    • Maintain, organize & update internship support materials as needed; coordinate setup of equipment and presentations, as needed;
    • Handle all coordination and communications with internship candidates;
    • Develop intern schedules, revise as needed;
    • Coordinate with Animal Care areas regarding scheduling and mentoring of interns;
    • Maintain records for each applicant and report information to manager on a monthly basis;
    • Ensure intern participants' satisfaction and safety;
    • Help identify new internship offerings, working proactively to ensure alignment with Best Friends Mission;
    • Follow up with animal areas after the departure of interns to assess caregivers' experience.  Make recommendations to Department Manager for program adjustments based on feedback;
    • Disseminate surveys to interns to determine satisfaction as well as effectiveness of programs. Make recommendations to Department Manager for program adjustments based on feedback.
  • Schedule and arrange veterinary student (preceptor) and veterinary technician externships at Best Friends Medical Clinic.
    • Process veterinary student (preceptor) and veterinary technician extern applications and maintain schedule for clinic staff. Communicate with applicants to gather required materials, with prospective applicants to answer questions about the program, and with Clinic staff to arrange schedules.
  • Assist with creating new internship opportunities at Best Friends Animal Sanctuary, in Best Friends Program Cities, and with Best Friends National Community Cat Programs.
    • Assist various departments, both at the Sanctuary and in other Best Friends locations, to create Internship Position Descriptions that are learning-focused.
    • Assist in recruiting interns with specific skill sets to fill specialized internship positions.
    • Manage application process by collecting applications, responding to inquiries, and communicating with managers to coordinate set up of internships.
  • Must communicate effectively and amicably with all personnel and visitors at the sanctuary.
  • Must be knowledgeable and informed regarding current trends in and materials about animal welfare.
  • Assist with the management of The Learning Experience department email and voicemail accounts in an effort to respond to questions and requests in a timely manner.
  • Manage individual email and voicemail accounts, returning emails and calls in a timely manner.
  • Meet and maintain the requirements of our vehicle insurance provider necessary for the operation of BFAS vehicles to include experience driving a multi-passenger vehicle.
  • Other duties as required.

Skills and Experience:

  • The ideal person for this position needs to be a team player, resourceful and proactive with a positive outlook. They should be professional, upbeat, outgoing, and energetic and have strong interpersonal skills that include tact and diplomacy as well as the ability to handle sensitive and confidential situations appropriately.
  • Work requires continual attention to detail, establishing priorities and meeting deadlines.  Must be able to work in a fast-paced environment with demonstrated ability to handle multiple competing tasks and demands.
  • Must be able to professionally advocate Best Friends' positions on animal welfare issues and be well informed on all aspects of animal welfare both in and outside of Best Friends.
  • Written and verbal correspondence must be of a professional standard. Must be comfortable with public speaking.
  • Must be proficient in  Microsoft Word, PowerPoint, Excel, Adobe Acrobat, Google software (Google mail, docs and forms), Facebook / social media and the Internet.
  • Working knowledge of project management software helpful.
  • Must be comfortable creating reports and tracking results.
  • Valid Driver's License with no citations in the last 3 years. Must have access to transportation.
  • Planning and coordinating skills.
  • Demonstrate initiative and ability to solve problems independently.
  • Organizational and time management skills.

Physical Requirements:

  • Must be able to work outdoors in variable weather conditions and have the physical ability to perform strenuous manual labor.
  • Must be able to sit and work at a computer for extended periods of time with repetitive typing, arm and hand motion.
  • Must be able and willing to work a flexible schedule (i.e., weekends, evenings, early mornings).
  • Must be able to work around allergens like hay, dust, and animal fur.
  • Must be able to effectively interact with and handle most animals.
