Position Title: Lodging Specialist

Reports to: Welcome Center Assistant Manager

Location: Kanab, Utah

 

Position Summary: The cottages, cabins and RV sites at Best Friends Animal Sanctuary are extraordinarily popular with our over 30,000 annual visitors, resulting in a full occupancy rate for most of the year.  The Lodging Specialist, as our guests' primary contact, is responsible for ensuring a top-quality experience--starting with a seamless reservation process and continuing throughout their stay, making sure that all details of their lodging experience exceed expectations every step of the way.  This person possesses superior customer service skills and applies hospitality principles and best practices to every component of the job.

 

The Lodging Specialist plays an integral role in welcoming the guests and inspiring a connection to our lifesaving work.  This person understands our mission and takes every opportunity to educate and motivate our guests to become involved in our Save Them All campaign and achieving No-Kill 2025.

 

 

Essential Duties:

  • Process all over the phone-in, email and onsite lodging reservations.
  • Answer and document all phone calls, e-mails and onsite inquiries about onsite lodging accommodations.
  • Schedule all internal, employee and public events at Angels Landing; submit associated Maintenance and Housekeeping work orders as needed.
  • Purchase all cabin, cottage and RV supplies and furnishings.
  • Maintain and update database of department spending and track inventory usage.
  • Generate and file monthly occupancy and revenue reports to Visitor Experience Manager.
  • Generate and file other reports as requested by Visitor Experience Manager.
  • Track and monitor department spending and adhere to preset monthly budget targets.
  • Monitor the condition of cottage and cabin supplies/furnishings and re-order as needed.
  • Identify existing and potential building maintenance issues and file appropriate work order to the Maintenance Dept.
  • Make revisions and improvements to existing procedures/systems, etc. and implement changes as requested.
  • Respond to questions regarding information pertinent to visiting the Sanctuary and surrounding area.
  • Submit work orders to Housekeeping and Maintenance for cleaning/repair items.
  • Offer ideas to increase occupancy (promotional packages, etc.) as needed and assist in the coordination of associated logistics.
  • Other duties as assigned.

 

 

Experience/Requirements:

  • Handles situations with tact and diplomacy.
  • Proficiency with software updates and configuration in a multi-user environment, computer data entry, Microsoft Office, Excel and Google applications.
  • Strong time management, multi-tasking and organizational skills with the ability to prioritize tasks for timely completion.
  • Understanding of the organizational structure and functions of divisions and departments.
  • Has the interpersonal skills to handle sensitive and confidential situations.
  • Attentive and patient listener with a positive attitude and a 'relationship building' attitude toward all potential visitors.
  • Ability to remain focused in a dynamic environment with multiple facets.
  • Pays particular attention to detail.
  • Professional written and oral communication skills.
  • Ability to perform duties with minimal supervision.
  • Ability to professionally advocate Best Friends' position on issues.
  • Must be flexible regarding work schedule and willing to work weekends and holidays.

 

Physical Requirements:

  • Ability to work at computer for long periods of time with repetitive typing, arm and hand motion
  • Ability to communicate clearly on the telephone and in person
  • Ability to work in an office environment with other staff without being distracted.
