Position Summary:  Under the leadership of the Senior Manager, Operations Northeast,, and the Manager of New York Community Programs and Events, the responsibility of the Volunteer Programs Specialist is to develop and implement the foundations of collaborative volunteer engagement for Best Friends Animal Society - New York City in support of outreach initiatives and other programming to more effectively leverage our volunteer resources.  The person in this role will also work in a consultative role Best Friends' program managers in New York City in order to create impactful volunteer programs achieving alignment between Best Friends Mission, our Partners and our combined effort of saving animal lives. 

Responsibilities: 

  • Work with Best Friends Animal Society - New York staff to determine volunteer position needs and proactively recruit volunteers in a timely manner based on skills, experience and interest of volunteers.
  • Design and develop appropriate tools and processes.
  • Lead the creation of applicable position descriptions.
  • Design and implement the volunteer orientation and trainings.  
  • In collaboration with the Senior Manager, Operations,  and program managers, train staff in volunteer orientation and volunteer training.
  • With input from the Senior Manager, Operations,, train staff in volunteer performance support process.
  • In collaboration with program staff and safety manager, develop and implement required safety protocols per program/project.
  • With input from the Senior Manager, Operations, , create and implement recruitment strategies and tactics to support program needs.
  • Serve as the primary contact for responding to volunteer inquiries and guiding volunteers through the registration and engagement process.
  • Direct and manage volunteer staffing for events, initiatives and special projects as assigned.
  • Supervise volunteers in their role of volunteer coordinator for programs as needed.
  • Serve as mentor and make recommendations during the interview and selection process of volunteer leaders.
  • Observe & identify volunteering trends, new recruitment resources and provide recommendations for areas of improvement.
  • Cultivate and deepen volunteer relationships to ensure positive outcomes/experiences and continued impactful engagement. Through these efforts provide recommendations for potential volunteer leaders as well as identify volunteer performance issues.
  • Report and record national volunteer data and create reports utilizing the volunteer management database.
  • Promote positive morale, creativity and teamwork among volunteers and staff.
  • Prioritize, assign, and review work assignments for volunteers.
  • Provide feedback on volunteer engagement policies and procedures.
  • Other duties as assigned. 

Experience/Requirements:

  • Bachelor's degree preferred but not required.
  • Minimum of 2 years or more comparable work experience in volunteer program management, focusing on non-profit community outreach initiatives and special events.  4 to 6 years of business experience preferred.
  • Strong people, communication (written and verbal), multi-tasking and organizational skills.
  • Excellent attention to detail, problem solving and time management skills.
  • Ability to make independent decisions as defined by project scope.
  • High level of interpersonal skills to handle sensitive and confidential situations.
  • The ideal person for this job is a team player, personable, professional, positive, energetic, and proactive and uses tact and diplomacy.
  • Willingness to work a flexible schedule that includes long hours near/during event dates as well as weekends and evenings.
  • Ability to work independently and use judgment within established guidelines.
  • Ability to professionally advocate Best Friends position on issues.
  • Excellent computer skills including experience with Microsoft Word, Gmail, Google Docs, Excel and volunteer databases.
  • Some travel required. (Less than 25%)

Physical Requirements:

  • Ability to lift 40 lbs.
  • Ability to sit and view computer screen for long periods of time.
  • Travel via various forms of public transportation on behalf of organization business.
