Position summary: People come from all over the world every year to Best Friends Animal Sanctuary to engage with our animals and staff and learn more about how they can become part of our life-saving work. The Learning Experience houses many opportunities to deliver education on multiple levels, requiring a flexible team focused on mission outcomes. The responsibility of the Group Coordinators Team Lead is to provide oversight of the day-to-day operations, including supervision of, the Group Coordinators staff. The person in this position possesses excellent customer service and leadership skills. This person will assist The Learning Experience Manager in the development and implementation of the strategic goals of the Groups program and will work collaboratively with other Best Friends staff to coordinate and arrange meaningful and rewarding experiences at the Sanctuary for The Learning Experience's Groups Program participants as we work to Save Them All.

Responsibilities:

  • Supervises the day-to-day operations of The Learning Experience's Group Coordinator team.
  • Ability to perform the duties of Group Coordinators.
  • Collaborates with department manager on strategic goals and tactical plans for deepening program engagement and optimizing participant experience.
  • Continuously evaluates and improves Group Coordinator operations, policies, and procedures for efficacy and alignment with the strategic plan.
  • Cultivates and deepens participant relationships to ensure positive outcomes/experiences and continued engagement.
  • Partners with department manager in the hiring of staff.
  • Works with direct reports in setting staff performance goals and objectives.
  • Trains, coaches, and mentors Group Coordinators in achievement of goals and professional development.
  • Strengthens employee relations through conflict resolution and team-building.
  • Evaluates staff performance and conducts performance reviews.
  • Conducts initial stages of formal disciplinary action.
  • Facilitates the functionality/tasks of The Learning Experience Group Coordinator team.
  • Ensures that the Group Coordinator staff is providing superior levels of customer service.
  • Collaboratively helps facilitate group volunteer, intern, and workshop programs recognition, along with Group Coordinator staff recognition and reward programs.
  • Promotes continued connectivity to Best Friends by educating visitors on how to become active in their home communities through Best Friends national events, Network Partners, fundraising, and advocacy.
  • Maintains a professional work environment while providing leadership and direction to all Group Coordinator staff.
  • Addresses issues with group volunteers and/or provides guidance on challenging situations as necessary.
  • Ensures that all written and verbal communications to visiting volunteers, Best Friends employees, and the general public are professional, authentic, and transparent.
  • Fosters positive relationships with other departments/divisions to support TLE program activities.
  • Informs TLE group volunteers on Best Friends news, events, and overall message/mission.
  • Other duties as required.

Skills and Experience:

  • Leadership and/or supervisory experience in customer service and interacting with the general public.
  • Must have team management/supervisory experience.
  • Initiative to resolve problems and seek answers independently.
  • Excellent communication skills with a high degree of professionalism and appropriate intent.
  • Ability to supervise a team with fairness and flexibility while motivating their best performance levels.
  • Resolve volunteer and staff conflicts with tact and diplomacy.
  • Strong interpersonal skills to recognize and effectively handle sensitive and confidential situations.
  • Team player with a positive, personable, and enthusiastic attitude.
  • Excellent organizational skills with a keen eye for detail.  Must be able to thrive in a fast-paced environment with the ability to prioritize and juggle multiple, competing tasks and demands.
  • Proficiency in Microsoft (Word, Powerpoint, Excel, Outlook); Adobe Acrobat. Comfortable learning new software programs and using online reservation and information systems.
  • Must be comfortable creating, tracking,  pulling reports and analyzing data.
  • Able to work weekends and holidays.
  • Genuine passion for Best Friends' mission with the ability to advocate on behalf of Best Friends' positions on issues and to effectively represent our message of compassion and respect for all living creatures.

Physical Requirements:

  • Must be able to work outdoors in variable weather conditions.
  • Must be able to sit and work at a computer for extended periods of time with repetitive typing, arm and hand motion.
  • Must be able to work around allergens like hay, dust, and animal fur.
  • Must be able to effectively interact with and handle most animals.
