Location: Remote in Program City (NYC, LA, Atlanta, or Salt Lake City)

Position Summary:  As part of the National Events Team, the Events Specialist manages a variety of events that fall within the National Events team suite of annual and one-off events.  The duties primarily include, but are not limited to creating (or following existing) event plans and executing development and member related events and programs designed to cultivate and steward relationships with members, major donors and influencers in order to maximize giving potential, as well as working on portions of the Best Friends National Conference and Strut Your Mutt national event series.

Responsibilities:

  • Plan and execute portions of as well as entire events within the National Events team umbrella of events
    • In some cases, this position will be the lead on events (and will be responsible for helping to divide and delegate components of the event planning and execution amongst the team), in others, this position will own elements of the event within the whole
  • Coordinate and communicate clearly and efficiently with other team members as part of the National Events department, as needed, to accomplish event plans and execution
  • Provide input and support for the National Events (and Stewardship Team) strategy that's focused on meeting Best Friends' development and marketing objectives and goals
  • Develop, manage and execute world class events designed for members, major donors, celebrities and other high profile individuals, as well as general animal welfare event attendees and the average pet lover who may support general animal-related events, such as Strut Your Mutt
  • Accommodate the needs and requests on-site at events from members, major donors and other high capacity individuals
  • Maintain highly sensitive information about donors in order to personalize their experiences at events
  • Ensure that our brand is appropriately represented and brought to life at all events
  • Follow event strategy and team organizational processes as determined by National Events Senior Manager in order to accomplish consistency and uphold standards as they are developed and communicated to the team
  • Consistently work towards fulfillment of National Events (and at times, the Stewardship event-specific) event goals that support Best Friends' organizational strategy and priorities
  • Work across organizational lines and with all members of the fundraising departments to ensure the effective and timely implementation of special events in support of development initiatives.
  • Initiate and manage event strategy including but not limited to: setting up all venue and travel needs and handle collateral ordering and delivery, contractor and volunteer set-up and stakeholder and "talent" coordination.
  • Develop and maintain high touch relationships with major donors, volunteer leads, hotels, conference centers, airlines and other key event vendors
  • Recruit, train and efficiently manage event volunteers as required, always striving to deepen relationships and support of Best Friends' event initiatives
  • Serve as point of contact with all event suppliers, sponsors, major donors, etc, maintaining historical and accurate records, as well as ensuring that acknowledgements for services are handled accordingly.
  • Negotiate contracts for all programs, speakers, entertainment, vendors and logistics providers.
  • Maintain and monitor an overall development events budget, working within an established budget.  
  • Develop and/or enhance event templates.
  • Provide guidance and help implementing third party fundraising events.
  • Help develop event strategies, plans and executes stewardship events.
  • Oversee and coordinate  internal and external mailings, including timely donor communications and event invitations in regards to Stewardship-related events. Prepares mailing lists, mail package contents, and coordinates with print and mail house vendors.
  • Maintain guest lists and facilitate updated attendee information in the fundraising database (CRM).
  • Work with the National Events Sr. Manager to produce all event related materials, including programs, signage, etc working closely with Marketing and Communications on appropriate branding and language.
  • Assure that any revenue or donations associated with events are collected, protected and returned for processing in a timely manner.
  • Other duties as needed or assigned within the events department.

Skills and Experience:

  • Bachelor's Degree
  • Minimum of 5 years of event planning experience
  • Strong organizational skill with demonstrated ability to prioritize and juggle multiple competing tasks and demands.
  • Ability to think strategically.
  • Excellent verbal and written communication skills.
  • Considerable domestic travel required (expect at least 30% of time per year on average).
  • Ability to exercise discretion and independent judgment while working independently or in a team environment to accomplish goals within established deadlines.
  • Proven attention to detail with advanced organizational and time management skills.
  • Embodies the Best Friends mission and follows the guiding principles with enthusiasm and positive presence in all interactions; ability to professionally advocate Best Friends' positions on issues.
  • Proficiency with Internet navigation and a variety of computer software applications including Microsoft Office suite of products and Google (email, calendar, drive, etc.).
  • Willingness and ability to work long hours near/during event dates.
  • Valid driver's license and access to transportation to travel on organizational business.

Physical Requirements:

  • Work for extended period of time at a computer with repetitive typing, arm and hand motion.
  • Travel via various forms of public transportation on behalf of organization business.  
  • Extended periods of time working at a computer with repetitive typing, arm and hand motion.
  • Ability to stand and/or walk outside for long hours in various weather conditions (including rain, heat and cold) at events
  • Ability to lift 20 lbs.
