Position Summary:The Receptionist welcomes and assists the public who contact or visit the Center, answering questions about the animals available for adoption, animal help resources and any other customer needs.  The Receptionist functions as a  first point of contact for the public on issues about animals.

Essential Duties/Responsibilities include:

  • Serve as primary contact for the public who contact the Best Friends - New York Pet Adoption Center requesting help with an animal issue (includes dog and cat health and behavior, adoption techniques, animal rescue and animal welfare issues)
  • Answer the phone and emails, and field basic questions from the public.  Appropriately direct inquiries and issues to other team members.  
  • Check voice mail messages, and respond or redirect them to appropriate staff in a timely manner.
  • Prioritize animal help requests by urgency and gather resources to support successfully resolving the issue; may involve ongoing research to keep up with changes within the animal rescue community and to identify where resources are lacking in the area.
  • Create individual responses for animal help issues that are personal and that empower and motivate the individual(s) receiving the response.
  • Assist in the achievement of retail sales goals.
  • Work with HR Administrator to maintain equipment by completing preventive maintenance, calling for repairs, and monitoring and purchasing as directed.
  • Support the HR Administrator in maintaining safety postings and records.
  • Welcome visitors to the Center, and direct them to appropriate staff/volunteers who can help them with their adoption needs and questions.
  • Track visitors by group for statistical analysis and conversion analysis.
  • Ensure the entryway and visitor-facing area is orderly, safe and clean at all times.
  • Work as a team member with the adoption and animal care specialists,  Kitten Nursery staff and other team members, and assist them when directed by the Manager.
  • Engage the public as appropriate to become involved by adopting, fostering, donating or becoming a member.
  • Assist with data entry and filing as needed.  
  • Maintain supplies and merchandise by checking stock to determine inventory levels; anticipating requirements; placing and expediting orders; verifying receipt; stocking items; delivering supplies to work stations.  
  • Other duties as assigned by Pet Adoption Center Manager.

Skills and Experience:

  • Bi-lingual in English and Spanish preferred.
  • Energetic and enthusiastic about animal welfare issues, willingness to learn.
  • Ability to prioritize work, and respond to changing priorities.
  • Ability to work with people respectful, calm demeanor, personable and approachable
  • Ability to drive in New York preferred
  • Good writing and speaking skills
  • Team-oriented
  • Diplomatic
  • Creative problem-solving skills
  • Ability to address sensitive matters tactfully
  • Able to routinely respond to animal situations that may be graphic in nature or deal with life and death scenarios
  • Ability to communicate in the Best Friends style and work collaboratively across all divisions and departments
  • The successful candidate must have the initiative to resolve problems and seek answers independently and enthusiastically demonstrate flexibility to persist until goals are achieved.  
  • Knowledgeable of breeds, care giving, and characteristics of animals preferred. Ability to learn is required.
  • Must be able to work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands.
  • Computer literate: Microsoft Office, Internet.
  • Basic math skills, experience handling money.
  • Previous customer service experience helpful.
  • Ability to professionally advocate Best Friends' position on issues.
  • Ability to work weekends, evenings and some holidays.
  • Access to transportation to travel on organization business.

Physical Requirements:

  • Must be able to perform full range of movement: stretching, bending, squatting, etc...
  • Ability to effectively interact with and handle cats and dogs.
  • Work at a computer for extended periods of time with repetitive typing, arm and hand motion.
  • Must be able to lift 30 pounds or more.
