Position: Senior Manager of Operations, Best Friends Animal Society-Los Angeles

Reports to: Pacific Regional Director, Best Friends Animal Society-Los Angeles

Location: Los Angeles, CA

 

Position Summary: Responsible for the operations of the Best Friends Pet Adoption and Spay and Neuter Center including but not limited to Pet Care programs, Mission Hills Admissions program, Behavior programs and Mission Hills Adoption programs in Los Angeles (LA) as well as the medical areas and veterinary staff. The Senior Manager of Operations ensures the appropriate standards of care are adhered to so there is a safe environment for animals, staff and volunteers.  This role is responsible for ensuring the Best Friends Pet Adoption Center and Spay and Neuter Clinic is meeting its lifesaving and budgetary goals.

Essential Duties/Responsibilities:

  • Strategic planning  Inform the determination of the strategies for achieving Best Friends Vision in Los Angeles.  "Informing the determination" will involve bringing forward key strategies from among many possible strategies that can be implemented by this position areas of responsibility to support the mission and ensuring that there is broad understanding and support within the departments for these key strategies.
  • Organizational Capabilities and Capacity building.  Ensure the development of the Organizational Capabilities and Capacity required to implement the Strategies within the areas of responsibility for this role.
  • Culture.  As one particular organizational capability, ensure that employees understand the Best Friends organizational culture and act in accordance with it to achieve optimal results and employee engagement and to live and represent the Best Friends brand
  • Stewardship of the Best Friends Brand.  Ensure that direct reports and subordinate employees understand the Best Friends brand and the role that they play in building, sustaining, and communicating that brand to external constituencies.
  • Goals and performance: Support and inform the establishment of annual program goals and manage team performance in the achievement of goals.
  • Direct oversight of ensuring city contract requirements for medical spay and neuter are fulfilled which could include surgeries performed by Best Friends or through sub leasing to other organization to run and perform medical and spay and neuter service to fulfill said contract.
  • Direct point of contact between city officials for anything pertaining to Mission Hills operations and facility management
  • Direct oversight of Mission Hills Adoptions Manager.
  • Direct Oversight of Medical Manager as wells as clinic, shelter medicine and admissions program for Mission Hills.
  • Direct oversight of Staff Veterinarians.
  • Direct Oversight of Dog Care Manager and Dog Care and Behavior program.
  • Direct Oversight of Cat Care Manager and Cat Care and Behavior department.
  • Direct oversight of Admissions Lead
  • Ensures that all program managers are communicated with regularly and are delivering to staff and volunteers training and ensuring the performance of tasks and behaviors in conjunction with all policies and procedures of Best Friends Animal Society by creating, updating and implementing standard operating procedures for all lifesaving areas. This also includes timely and proficient performance management and job descriptions for staff and volunteers in all lifesaving areas. Additionally; plan, implement, facilitate, monitor, and evaluate all lifesaving programs ongoing for best practices and continuing education for attainment of organizational goals.
  • Ensuring that managers and in turn, managers direct reports and volunteers are continually delivering quality client service including disseminating appropriate information as well as perform duties in a manner which encourages attainment of goals and contributions and business for Best Friends Animal Society and its programs.
  • Ensuring any customer, staff or volunteer dissatisfaction is handled promptly and appropriately including accurate, consistent and timely corrective action when needed and by appropriate party.
  • Performing scheduling and payroll for all direct reports and ensure that all time and attendance is correct and completed by deadline time and date for lifesaving departments.
  • Ensuring managers are posting schedules at least two weeks in advance for all lifesaving areas.
  • Interview, hire, train, perform consistent and timely corrective action and terminate employees consistent with the organization's mission, contracts, philosophy and law.
  • Work within budgets and meet revenue goals as planned and delivered with executive director and program managers. Plan and coordinate staffing, equipment, and event needs; oversee the maintenance and ordering of an appropriate inventory of food donations to adopters, coalition and potentially low income members of the public as well as other shelter supplies.
  • Handle and resolve questions and inquiries about adoptions, admissions, dog behavior, volunteering and volunteer program as well as general issues/questions by phone, writing or email in a courteous, professional and timely manner.
  • Work with marketing staff and event specialist to organize special adoption promotions.
  • Oversee choices of dogs/cats to be taken to mobile adoption events.
  • Other duties as assigned.

Qualifications/Experience:

  • Proven ability to promote a positive, professional work environment.
  • Ability to problem solve and work with minimal supervision.  Affection for animals and concern for their welfare.
  • Experience in caring for and handling animals in a safe, effective and humane manner, especially larger and possibly untrained animals. Knowledge of contemporary shelter maintenance techniques and accepted sanitary practices. Knowledge of various breeds and their characteristics and familiarity with symptoms of diseases common to dogs and cats. Knowledge of preventive, diagnostic and therapeutic veterinary treatment of domestic animals.
  • Ability to accommodate varied work assignments and schedules. Ability to provide leadership and direction to managers, employees and volunteers.
  • Ability to communicate skillfully and effectively with a culturally diverse staff, volunteers and community in a professional, pleasant, respectful, courteous and tactful manner at all times. Maturity, good judgment and professional personal appearance including the wearing of neat and clean uniforms.
  • Engaging and friendly interpersonal skills with the ability to interact with the public and various forms of media outlets on behalf of the organization.
  • Ability to handle sensitive and confidential situations.
  • Strong management, leadership, facilitation and coaching skills.
  • Minimum of 5 years supervisory experience.
  • Ability to professionally advocate Best Friends Animal Society positions on issues.
  • Experience working in a municipal shelter or collaboratively with municipal shelters a plus.
  • Familiarity with animal welfare issues nationally and in LA; with particular knowledge of rescuing and adopting out dogs and cats.
  • Proficiency with a variety of computer tools such as word processing, spreadsheets, presentations, database, internet research, etc...
  • Valid driver's license with access to transportation for travel on organization business.
  • Experience with financials, budgets, ordering a must.

Physical and Job Requirements:

  • Must be able to routinely lift 40-50 pounds.
  • Must be physically able to perform strenuous manual labor.
  • Effectively handle dogs and cats.
  • Ability to stand for long periods of time while performing work requiring concentration and manual dexterity.
  • Lifting and handling animals of varying sizes and breeds, bending, stooping and walking on a daily basis.
  • Work at a computer for extended periods of time to include repetitive typing, arm and hand motion.
  • Daily hours and days of the week may vary according to the needs of the department schedule: includes weekends, night, holiday and on-call work.  
  • Ability to travel on behalf of the organization both in and out of state and region.
