Position Summary

Responsible for selling display ads, billing and accounting for display advertising accounts, managing/coordinating house and sponsor ads, tracking circulation, fulfilling magazine orders, postal audit, managing editor email address, coordinating Weekly Digest, and provide support for other magazine and department functions.  Excellent customer service, and understanding the client, is an essential part of this position.  This is a full time position, working preferably at the Sanctuary, but will consider remote.


  • Be the primary point of contact for new & existing clients desiring to place display ads in the Best Friends magazine.
  • Sell magazine advertising to achieve revenue goals
  • Provide superior customer service in order to build relationships with clients, understand their needs, grow existing accounts, and acquire new clients.  
  • Facilitate client ad content to meet production deadlines and specifications.  
  • Maintain customer database by inputting customer profile and updates; preparing and distributing monthly reports.
  • Have knowledge of Best Friends magazine, including rates and marketing demographics.
  • Ensure rate cards and media kit are created each year.  
  • Billing:  invoice/bill all display advertising clients through Paypal. Send past due statements to any accounts that are delinquent.
  • Accounting:  track & book all payments by check into Paypal, and generate monthly accounting reports for Accounting Department and Production Manager to keep accounts reconciled.
  • Work closely with the clients to coordinate and confirm accuracy of client's' ads.
  • Be the primary point of contact for magazine fulfillment for employees, Best Friends events, conferences, including comped magazine requests for advertisers
  • Manage public correspondence to the Magazine through the email address.
  • Research story ideas as assigned.
  • Manage the spreadsheet that tracks display advertisers on a monthly and yearly basis.
  • Be the primary point of contact with Best Friends staff requesting House and Sponsor/Partner ads to be in the magazine. Manage the spreadsheet that tracks House ads and Sponsor/Partner ads.
  • Monitor existing circulation for media kit updates, Statement of Ownership and CPM accuracy. 
  • Track circulation and distribution information throughout the year.
  • Responsible for performing yearly postal audit to comply with postal regulations to maintain our "periodicals status" and create Statement of Ownership.
  • Manage the print run spreadsheet and submit to the printer
  • Coordinate Weekly Digest production.
  • Perform other duties, as assigned, to support the Publication and Editorial team.

Skills and Experience

  • Bachelors' degree in Marketing, Sales or Advertising, or equivalent experience is preferred
  • Good verbal and written communication skills  
  • Strong customer service skills  
  • Close attention to detail, and the ability to work independently, as well as part of a team
  • Must be able to work in a fast-paced environment
  • Familiarity with animal welfare issues is strongly desired
  • Must have proficiency with a variety of computer software applications in word processing and spreadsheets including Microsoft Office products. Comfortable learning new software programs and using online information systems.  
  • Accomplish department and organization mission and goals by completing related results as needed
  • Ability to professionally advocate Best Friends' mission and position on issues.

Physical Requirements

  • Good vision; ability to see and sort a variety of printed and on-line information.
  • Must be able to sit for long periods of time and work at a computer for extended periods of time with repetitive typing, arm and hand motion.
