Position: Adoptions and Animal Care Manager

Reports to: Senior Manager, Utah Program

Location: Salt Lake City, UT

 

Position Summary: The Adoptions and Animal Care Manager is responsible for managing the operations of the Pet Adoption Center,  Kitten Nursery, and foster program.  Operational responsibilities include the hiring and performance management of staff, ensuring organizational standards of animal care and customer service, management of the associated budgets, and helping set and achieve Best Friends - Utah's life saving goals.

Essential Duties/Responsibilities:

  • Create and implement strategic plan and set life saving goals for the Pet Adoption Center, Kitten Nursery, and foster program. Analyze relevant state-wide statistics and metrics to inform department strategy and goals.   Manage the day-to-day operations of Pet Adoption Center (1,800 annual adoption goal), Kitten Nursery (1,500 annual intake), and a foster network (supports approximately 1,200 animals).
  • In conjunction with the management team, develop strategies to achieve and maintain a no-kill Utah.  Acting as liaison between the Adoptions and Animal Care Department and other Best Friends Utah departments in order to accomplish life-saving goals.
  • Interview, hire, train, and manage the employee performance management process, including consistent and timely corrective action and termination, consistent with the organization's mission, contracts, philosophy, and law.
  • Work within budgets and meet revenue and expense goals as directed by senior leadership team, plan and coordinate staffing, equipment, and facility needs.
  • Manage the Pet Adoption Center and Kitten Nursery collaborations with coalition and shelter partners.
  • Support the organization's capabilities and capacity to implement the chosen strategies.  This includes developing the organizational and individual capabilities of your team in the following areas:
    • Performance measurement and reporting (setting planned animal-saving outcomes; accumulating and reporting actual outcomes; understanding the outcomes we got and why we got them)
    • Identifying and addressing operational and protocol issues.
    • Marketing (i.e., working with marketing to ensure organizational understanding of the impact of marketing efforts in support of adoptions)
    • Selling (i.e., adopting - fulfilling the demand that has been built)
    • Delivery of intake to the Pet Adoption Center and Kitten Nursery
    • Care of the animals while at the Pet Adoption Center,Kitten Nursery, and foster program.
    • Supplies and other inventory procurement and management
    • Facilities, equipment and utilities procurement and management
    • Staffing selection, management, development and retention
    • All other HR matters
    • External and internal communications
    • Finance and budget management (including budgeting of expenses and revenues; accumulating and reporting actual results; understanding the results we got and why we got them)
  • Plan, implement, monitor, and evaluate all the Pet Adoption Center, Kitten Nursery, and foster program areas of performance. Develop or refine Standard Operating Procedures and institute training programs for key areas of responsibility including but not limited to:
    • The meeting of expectations defined in memorandums of understanding (MOUs) between BFAS, shelters, and coalition partners.
    • Customer Service
    • Volunteer management  
    • Animal intake and care protocols
    • Manage medical care in conjunction with department vet
    • Data management
    • Adoption processes
  • Establish a preventative maintenance program to ensure the timely repair and/or replacement of equipment; oversee the maintenance and ordering of  animal care supplies.
  • In conjunction with the volunteer department develop volunteer recruitment, engagement, and retention strategies for Pet Adoption Center, Kitten Nursery, and foster program. This includes developing orientations, training, job descriptions, and ensuring appropriate volunteer coverage to support program needs.Oversee retail sales, inventory and ordering of all retail merchandise for the Pet Adoption Center.
  • Coordinate showcasing of Best Friends-Utah program animals in Best Friends Events, third party events, and mobile adoption events.
  • Other duties as assigned.

Qualifications/Experience:

  • Management and leadership experience: 3+  years of management  experience preferred.
  • Background in the No-Kill movement: 2 + years experience working for or with a humane organization preferred.
  • Relate and work with a diverse public, which includes community leaders, shelter staff, and other third party stakeholders.
  • Provide excellent customer service via phone, email, and in person.Proven ability to promote a positive work environment.
  • Experience with overseeing an adoption program and animal population management.
  • Experience with program development.
  • Experience with reviewing statistical information to inform program direction and goals.
  • Experience with cultivating, training, and retaining volunteers.
  • Must be able to work in a fast paced environment, with ability to successfully juggle multiple tasks and demands.
  • Must be able to work in a shelter environment.
  • Engaging and friendly interpersonal skills with the ability to interact with the public and various forms of media outlets on behalf of the organization.
  • Ability to handle sensitive and confidential situations.
  • Ability to professionally advocate Best Friends Animal Society positions on issues.
  • Animal training, behavior, handling, and restraint experience required.
  • Proficiency with a variety of computer tools such as word processing, spreadsheets, Internet research, presentations, and animal care databases. Daily work hours and days of the week may vary according to the needs of the department schedule. Willing and able to work varied hours which may include holidays, nights, and weekends.
  • Valid Driver's License with a clean driving record. Experience with and ability to drive large multi-passenger vehicles, including vehicles over  10,000 pounds.

Physical Requirements:

  • Work at a computer for extended periods of time with repetitive typing, arm, and hand motion.
  • Must be able to routinely lift up to 50 pounds.
  • Ability to stand for long periods of time while performing work requiring concentration and manual dexterity.
  • Able to travel and work for extensive periods across the state and elsewhere to support department life-saving goals.
  • Must be able to perform strenuous physical activity on a daily basis, including but not limited to: walking, hiking, bending, lifting, carrying, twisting, reaching, stooping and squatting. This may include spending an extended period of time outdoors in all weather, including extreme heat and cold.
  • Ability to effectively and safely handle dogs and cats. Lifting and handling animals of varying sizes and breeds and be able to spend extensive periods of time with those animals in close quarters.
