Position: Prospect Management Analyst

Reports to:  Manager, Prospect Development

Location: Kanab, Utah or Remote


Position Summary:  

The Prospect Management Analyst is responsible for developing and sustaining the movement of Major Gifts prospects through the development cycle to ensure optimization of giving. This position is tasked with providing reliable and timely quantitative data and trend analysis in support of Best Friends Animal Society's (BFAS) fundraising efforts.  

The Analyst is housed within the Major Gifts Team and works closely with two full-time Prospect Research Staff.  This team serves to support the Major Gifts team by applying data analytics and managing prospect identification and assignment services to facilitate the movement of donors through development channels, primarily focused on major and principal gift portfolios.

Essential Duties/Responsibilities:

  • Promote and support data-driven decision making in Principal and Major Gifts.
  • Create, refine, and manage an efficient and effective data-driven prospect management system, developing solutions in cooperative fashion with key fundraising leaders in major and principal gifts. In partnership with members of senior leadership and the Manager, Prospect Development, establish and monitor a "moves management" system based upon targeted research that drives mutually agreed upon cultivation and solicitation strategies for donors and prospects.
  • Actively participate in monthly prospect strategy sessions with each of 9 Major Gifts Officers.
  • Create regularly recurring prospect management reports and conduct quarterly portfolio review meetings.
  • Partner with colleagues in prospect research to manage the assignment of newly-qualified prospects via predictive models, engagement scores, and capacity ratings and apply biographical and financial information on individuals based on the development staff's fundraising strategies and objectives and provide recommendations and best practices.
  • Develop, maintain, regularly review, and update prospect management policies and procedures. Work with senior leadership to ensure adherence to established policies and procedures.
  • In partnership with the Prospect Development Manager, provide orientation and training to Major Gifts Officers on the principles and details of BFAS's prospect management framework, including policies, procedures, and key performance indicators.
  • In partnership with development operations, initiate and perform data analytics and utilize predictive modeling and scores produced internally and by vendors.
  • Coordinate Major and Principal Gifts revenue and expense reporting (internal), including but not limited to ongoing budget tracking, weekly revenue reporting, liaising with the Finance department regarding monthly reconciliations, expense reports and tracking, and any vendor payments.  In addition, support Major Gifts and Principal Gifts in creating gift and recognition agreements, and tracking pledge payments and due dates.
  • Work cross-functionally with donor relations and fundraising teams to ensure gift crediting rules are followed.  As needed, recommend and make gift reclassifications.
  • Stay current with computer technology, best practices and research methodologies, as well as news and other trends that impact fundraising, prospect management and research.
  • Other duties as assigned.

Minimum qualifications, knowledge and abilities:

  • Demonstrated ability to analyze and synthesize high volumes of information into concise actionable data and strategies. Proven experience in producing, analyzing, and interpreting data to drive business strategies.
  • Excellent analytical skills and the ability to interpret financial and biographical information from a variety of sources.
  • Strong creativity and problem-solving skills.
  • Must be able to write, review, edit comprehensive briefing documents with attention to accuracy and detail.
  • Excellent written/oral/interpersonal communication skills.
  • Ability to interact positively with diverse groups and personalities.
  • Excellent organizational skills and ability to handle several projects simultaneously, meet deadlines, and work independently.
  • Ability to maintain confidentiality and discretion.
  • Independent judgment and initiative required. Must continually demonstrate a proactive approach.

Experience and education:

  • The successful candidate for the Analyst, Prospect Management will have a Bachelor degree or equivalent, and a minimum of three years data analytics or other relevant experience.  Instruction in CRM systems is essential, and Blackbaud CRM experience is strongly preferred.
  • Experience with and strategic use of Blackbaud and/or other advanced CRM tools related to storing, manipulating, and retrieving data is highly desired.
  • Experience and expertise in advanced Excel functions is highly desired. Knowledge of BFAS's systems, data structures, and overall organizational landscape is a plus.  Knowledge and comfort with analysis and visualization tools (such as Excel, PowerPoint, Tableau, and basic graphic design, presentation, and mapping skills) a plus.
  • Ideally, work related experience will have been gained in a complex, national, non-profit organization with a significant base (300k +) of members and donors.  Prior experience involving raising funds through multiple channels with complex donor segmentation and data metrics is preferred.
  • Knowledge of BFAS's systems, data structures, and overall organizational landscape is a plus.
