The Background:
Best Friends Animal Society is the only national animal welfare organization dedicated exclusively to ending the killing of dogs and cats in America's shelters. When Best Friends began in 1984, some 17 million animals died every year in America's shelters, simply for not having homes. Today, that number is down to about 4 million. That's incredible progress, but it also means that more than 9,000 wonderful dogs and cats are still losing their lives every day. For 30 years, Best Friends has been running the nation's largest no-kill sanctuary for companion animals and building effective programs all across the country that reduce the number of animals entering shelters and increase the number who find homes.

The Opportunity:
We are seeking a dedicated, energetic and passionate Estate Administrator to support the work of Best Friends Animal Society. The ideal candidate is the functional lead for all estate administration for Best Friends Animal Society and directs the administration and receipt of funds from all terminated estate gifts.

Best Friends is two years into a five year comprehensive campaign that is dependent on planned and major gifts as well as gifts from corporations, foundations and the organization's annual fund donors.

Position Summary:
The Estate Administrator is the functional lead for all estate administration for Best Friends Animal Society and directs the administration and receipt of funds from all terminated estate gifts.

S/he will work towards meeting the strategic priorities of the planned giving team and complete the day to day work necessary to fulfill the responsibilities of the team and oversee a caseload of approximately 400 open estates per year. The position requires strong oral and written communication skills, clear attention to detail and a solid background in the functional area in which s/he works.

S/he works closely with the Director of Planned Giving on many aspects of the team's responsibilities, including preparation of budgets, preparation and reporting of financial statistics, setting team guidelines and reviewing and revising internal processes as needed.

When necessary, the Estate Administrator will retain and work with outside counsel on all matters involving estate litigation, and may represent Best Friends in mediations and/or court hearings. The Estate Administrator also works closely with key donors, legal/financial advisors, Best Friends staff in regional centers and will act as an advisor and knowledge source for staff throughout the organization.


  • Manage all aspects of matured bequests, beneficiary designated gifts and trust distribution to encourage accurate and prompt distribution of testamentary gifts. 
  • Communicate with trustees, personal representatives and attorneys on estate and probate matters. 
  • Review inventories, accountings, US Estate Tax Returns, fiduciary income tax returns etc. for errors and issues. 
  • Supervise sales of devised real estate.
  • Ensure correct allocation of all proceeds consistent with donor's Will/Trust, FASB rules and internal policies.
  • Oversee the acknowledgement of bequests and devises. 
  • Oversee the collection, tracking and reporting on statistical data related to estates.
  • Oversee the work of the Deputy Estate Administrator and the estate administration work of the Planned Giving Coordinator.
  • Assist the Director of Planned Giving in the coordination and review of litigation matters and reporting the number of estates in any stage of litigation.
  • Serve as a resource to staff concerning planned giving (with particular focus on estate administration).

Skills & Experience:

  • Bachelor's degree in accounting, pre-law, liberal arts or related field.
  • Minimum 10 years related work experience or an equivalent combination.
  • Accounting or financial experience required.
  • Experience, coursework, or other training in estate and trust administration, estate planning, estate litigation and planned giving. 
  • Successful experience in developing, directing and managing multiple projects and implementing strategic program goals.
  • Advanced skills with a variety of computer software applications including Microsoft Word, PowerPoint, Excel and Outlook. 
  • Comfortable learning new software programs and using online information systems. Familiarity with databases preferred.
  • Excellent interpersonal skills and ability to appropriately manage sensitive and confidential information. 
  • Ability to communicate effectively both verbally and in writing.
  • Strong organization skills, proofreading, accuracy, attention to detail and ability to multi-task.
  • Must be independent, responsible, dependable and self-motivated with the ability to participate effectively in a team environment and work well with others.

Physical Requirements:

  • Must be able to sit for long periods of time.
  • Work at a computer for extended periods of time with repetitive typing, arm and hand motion.
