Position: Adoption and Transport Specialist

Reports to: Adoption Manager

Location: Kanab, Utah


Position Summary: Adoption and Transport Specialists manage, coordinate and facilitate both onsite and offsite adoptions of the sanctuary's cats and dogs. Adoption Specialists have the unique ability to place animals with special needs that otherwise would not be saved into homes. Specialists independently counsel adopters on helping to retain and give that animal a lifelong home. Expanding Best Friends' mission and movement of saving them all and directly impacting annual adoption goals. Specialists honor and follow through Best Friends lifetime promise to these animals in cases of returns assisting the adopter to organize the transfer back to Best Friends.  In addition to this, the transport specialist books flights with the airlines and communicates this information to the adopters as well as coordinating other transports involving adopted and transferred animals.  The transport specialist also oversees all microchip registrations.



  • Independently authorize and facilitate the complete adoption process according to Best Friends standard by collaborating with caregivers, management, marketing, social media, medical staff, volunteers and visitors, and other animal care staff to convey animal and adopter's needs. Process includes:
    • Keep up to date information on the animal to promote and increase adoption interest
    • Review applications, agreements
    • Prepare and conduct consultations, medical records, health certificates, adoption payments, emails, and phone calls
    • Manage land transport and book flight transportation and communicate this info to adopters
    • Oversees all aspects of microchip registrations, communicating with companies, adopters, and updating of these records
    • Follow-up counseling adopters with specific advice to help during transition. Ultimately, making sure it is the right fit for adopter and animal.
  • Proactively overseeing sanctuary's ever-changing cat and dog populations and gaining knowledge of special needs in order to strategically place animals
  • Manage caseload, including unexpected and emergency counseling of emotional adopters and confidentiality of discussions that may occur at any time for the adopter and the animal's benefit.
  • Empower, educate and counsel potential adopters to utilize local shelters and rescue organization adoptions as alternatives to further Best Friend's mission of saving them all
  • Create individual responses that are personal and that empower and motivate the individual receiving the response to adopt  
  • Manage correspondence and phone calls on a timely basis and maintain personalized communications while using discretion.
  • Perform all aspects of off-site adoptions including transports, overnight stays when needed, and all aspects of these animals care, well-being, safety during this time
  • Communicate with management regarding adoptions and returns and documenting all details of the adoption. If returned communicating with others in the care and growth of the animals at the sanctuary
  • Collaborate regularly with caregivers, management, trainers/behaviorists, medical staff, groomers and in lifetime care cases planned giving staff to come up with creative solutions/problem solving and resource sharing to make the right match for a home, to help keep an animal in the home or return to the sanctuary
  • Provide information, resources, and full disclosure of the many special needs animals to educate potential and current adopters on a variety of issues such as dog and cat behavior and training, current medical care, adoption and animal rescue
  • Maintain accurate and up-to-date information in Best Friends' relevant databases  for the future knowledge of that animal care both at the sanctuary and in the home and communicating with web staff on updating adoption bios/photos, pending adoptions, adoption returns.
  • Arrange transport materials, including crates, medical records, health certificates, etc and arranging volunteer land transport of the animal both to adoptive homes, transfers to other organizations, and at times their return to the sanctuary or finding alternative care (foster homes, boarding, etc) until they can safely return
  • Oversee and work with volunteers and interns, assigning work, providing training, answering questions, promoting Best Friends mission of rescue and adoption
  • Create and present weekly adoption stories as needed, including Thursday news round ups in the Village Cafe.
  • Suggest ideas for Pet of the week and other adoption promotions based on knowledge of the sanctuary animals and marketing promotions
  • Other duties as assigned

Skills and Experience:

  • 2 years of previous marketing, customer service, public relations, animal care, adoption experience or a combination of these required
  • Strong customer service skills and a controlled emotional mindset required to handle all situations, including emergency, confidential, and emotional situations.
  • Strong interpersonal skills to handle sensitive and confidential situations and the obtaining and handling of Best Friends adoption funds  
  • Able to maintain clear communication with internal staff on all levels
  • Experience interacting with the public, comfortable speaking in front of people
  • Excellent written and oral communication skills.
  • Knowledgeable and continued interest in education of breeds and behavior, caregiving, and characteristics of animals
  • The ideal person for this job would be a level-headed team player, positive, personable, trustworthy, upbeat, and energetic, takes initiative, and uses tact and diplomacy, ability to multi-task under pressure, while learning from situations.
  • Must have the initiative to resolve problems and seek answers independently and enthusiastically demonstrate flexibility to persist until adoptions life-saving goals are achieved
  • Must be able to work in a fast-paced environment with demonstrated organized ability to juggle multiple competing tasks and demands
  • Computer literate-comfortable learning and using online information systems and the Internet  
  • Ability and flexibility to travel, work weekends, long hours, and stay overnight when needed
  • Insurance requires that candidates are at least 21 years of age and have a valid driver's license with 3-year clean driving record to drive organization vehicle.

Physical Requirements:

  • Must be able to perform full range of movement: stretching, bending, squatting, climbing, etc
  • Able to sit and drive a vehicle for extended periods of time
  • Must be able to lift 40lbs or more
  • Ability to effectively and intelligently interact with and handle all animals especially cats and dogs
  • Work at a computer for extended periods of time with repetitive typing, arm and hand motion
  • Spend an extended period of time outdoors in all weather, including extreme heat and cold
