Position Summary: Receives, sorts, documents and distributes all incoming mail, packages and freight that arrive at the Sanctuary. Serves as an office coordinator for the Shipping & Receiving Office. Inputs address corrections into Customer Relationship Management (CRM) software. Provides packaging & shipping services as needed.


  • Responsible for receiving, sorting, documenting and coordinating the delivery of all incoming mail, packages and freight to the Sanctuary
  • Sorts direct response mailings with members of Development and the Shipping Coordinator
  • Responsible for retrieving outgoing packages and mail from all areas of the Sanctuary
  • Responsible for retrieving, processing and closing Shipping Requests that are submitted via Help Desk
  • Responsible for receiving and distributing bi-monthly supply order in coordination with Accounting
  • Receives In-Kind donations from visitors and volunteers, documents pertinent information and transports the donations to the In-Kind Office
  • Responsible for unloading freight using a forklift and/or hand truck
  • Collects recycled boxes and packing materials to be used in outgoing shipments
  • Responsible for tracking, documenting and reporting receipt of purchase orders to Accounting and any necessary departments or individuals
  • Answers inquiries on incoming and outgoing mail/packages in a friendly, personable and timely manner
  • Responsible for transporting deposits between departments as requested by Accounting
  • Corrects addresses within Blackbaud (CRM) from information provided on returned mailings
  • Replenishes fuel on delivery vehicles and forklift
  • Responsible for creating new forms of activity documentation as necessary
  • Submits work orders with the Maintenance Department as necessary
  • Responsible for providing customer service to any staff member, visitor or volunteer who enters the office
  • Reports any supply needs to the Shipping & Receiving Manager
  • Attends safety training sessions as provided
  • Conducts daily safety inspections of forklift
  • Collects, stores and sends specific recycled items in coordination with Accounting
  • Assists with delivering In-Kind donations to each department around the Sanctuary
  • Provides shipment preparation and shipping services as needed
  • Determines method of shipment, utilizing knowledge of shipping procedures, routes, and rates
  • Other duties as assigned


Skills and Experience:

  • Must be personally committed to the Mission and Core Values of the Best Friends Animal Society ( friends/our-mission)
  • Strong interpersonal skills to handle sensitive and confidential situations. The ideal person for this job would be a team player, personable, professional, upbeat, and energetic, takes initiative, uses tact and diplomacy
  • Able to provide excellent customer service and maintain clear communication with internal staff on all levels
  • Work requires continual attention to detail. Must be able to work in a fast-paced environment with demonstrated ability to juggle multiple tasks and demands
  • Proficient computer skills, with the ability to learn new programs.  Experience with Google Products, Microsoft Office, Windows, Blackbaud, UPS and FedEx software is desirable
  • Ability to professionally advocate Best Friends' positions on issues
  • Valid driver's license and a 3-year clean driving record


Physical Requirements:

  • Extended periods of time working on a computer and sitting with repetitive typing, arm and hand motion
  • Must be able to work outdoors in all weather conditions, with temperatures ranging from below freezing to above 100 degrees
  • Must be able to perform strenuous physical activity daily, including, but not limited to: lifting and carrying up to 80 lbs., reaching, stooping, squatting, cleaning and bending
  • Ability to maneuver packages of any weight above 80 lbs with appropriate equipment and/or assistance from another person
